Plastic Surgery Clinic Achieves Paperless Efficiency with Complete Patient Security and Privacy
SUNNYVALE, Calif., – October 11, 2004 – Interwoven, Inc. (Nasdaq: IWOV), provider of Enterprise Content Management (ECM) solutions for business, today announced that Midsota Plastic Surgeons, the largest plastic surgery clinic in the Twin Cities region, has implemented Interwoven WorkSite software in a document management initiative designed to improve efficiency and aid compliance with the Health Insurance Portability and Accountability Act (HIPAA). By migrating all of its client records and other clinic business content into WorkSite, Midsota has eliminated the labor-intensive processes and delays associated with paper records while ensuring the strict privacy and security of patient information as required under HIPAA.
Midsota began its document management initiative earlier this year with the objective of improving the efficiency with which it managed, accessed and shared both client information and clinic business content. Under its previous system, although some patient information was stored electronically in folders in Windows, it was accessed and shared primarily in paper form. Staff members spent much of their time tracking down patient files, which often lead them to use the clinic’s voice PA system, which was a frequent distraction. The situation was becoming increasingly urgent with the approach of an April 2005 deadline for compliance with HIPAA regulations governing the security and privacy of patient information. Not only did Midsota need a more secure way of handling its patient records, it also needed to be able to audit and document this security.
After evaluating several document management systems, Midsota chose Interwoven WorkSite software and completed its implementation in early July with the help of Interwoven partner Stratika. The WorkSite repository now holds complete information for every patient, including medical records, nursing notes, transcriptions, surgical notes, disability evaluations, rehabilitation notes, and scanned insurance cards, as well as photo IDs and reports sent from other facilities. In addition to patient information, Midsota uses WorkSite to store and manage internal business content such as HR forms, policy and procedure manuals, board agendas and the minutes of executive committee meetings, effectively migrating the clinic towards a paperless office. Both medical staff and administrators can now access any information they need right from their desktop, eliminating the time formerly wasted hunting for paper documents.
WorkSite’s robust permissions model gives Midsota the control and auditing capabilities needed to comply with the strict new HIPAA requirements for security and privacy. The Interwoven solution allows Midsota to set security down to the level of an individual document, ensuring that each doctor or employee only sees information specifically required for their work and authorized by the clinic’s own policies. Patient information is made available only to the doctors that will see a patient on a given day, and otherwise kept completely private. A complete audit trail tracks the way Midsota’s employees access and use information, providing the comprehensive documentation called for by HIPAA. An administrator reviews all documents marked for deletion before they are actually removed from the system, providing an additional layer of protection against liability.

With a solid document foundation now in place, Midsota plans further enhancements of its systems and practices. The clinic is currently evaluating wireless computing tablets that will enable doctors and nurses to pull up patient charts and scheduling information directly from WorkSite prior to an appointment, then write prescriptions and fax them to a pharmacy right from the examination room. After hours, doctors will use VPN-equipped PCs to access WorkSite from their homes in order to respond to requests for information, consult on care decisions and ascertain whether requests for prescription refills should be granted. “Before, when everything was on paper, none of this would have been possible,” said Harbaugh.
